Information We Collect

We collect information you provide when using Keel: store settings, product inventory, sales records, expenses, customer names and phone numbers, service order details, and communication preferences.

If you connect a WhatsApp Business number (Pro plan, optional): we receive the sender's phone number, their WhatsApp display name if they share one, and the text of any message they send you. We also record the messages you send from the Keel inbox. This is set out in full in the WhatsApp and Messaging section below.

When you connect Google Calendar, we access your calendar events solely to create, update, and delete service appointment events as you direct through the app.

We also collect basic usage data such as page views and browser information to improve the service.

How We Use Your Information

Your data is used to:

- Operate and maintain the Keel dashboard (inventory, sales, expenses, reports)

- Sync service appointments to your Google Calendar when you choose to

- Improve and troubleshoot the application

- Communicate with you about your account and subscription

Google Calendar Data

Keel integrates with Google Calendar only on Pro plans and only with your explicit consent via OAuth. We:

- Create calendar events for scheduled service orders when you toggle calendar sync

- Update or delete events when you modify or cancel orders

- Store your access and refresh tokens securely to maintain the connection

- Never share your calendar data with third parties

- Never use your calendar data for advertising or training AI models

You can disconnect Google Calendar at any time from Settings → Integrations. Disconnecting revokes our access tokens.

Data Sharing

We do not sell your personal data. We may share data with service providers (Supabase for database hosting, Vercel for hosting, Paystack for payment processing, Resend for email) who are contractually bound to protect it. Where you use WhatsApp, Meta processes message content to deliver it to you. We may disclose data if required by law.

WhatsApp and Messaging

WhatsApp is optional, available on Pro plans, and switched off until you connect a number. Keel is a business management tool: the shop owner is the business using the service, and their customers are the people who message them.

What we store when a customer messages you:

- The customer's phone number

- Their WhatsApp display name, if they have set one

- The content of the message they sent, and any image they sent

- The time it was sent, and whether you or the automated assistant has replied

Automated replies: the assistant answers common questions using your published shop information (products, prices, opening hours, delivery and payment details) and your own saved FAQ answers. It is not a general-purpose chatbot and does not train any model. You can pause it or take over any conversation at any time from the Inbox.

Who else is involved:

- Messages are delivered by Meta's WhatsApp Business platform. Meta processes the content of every message as part of delivering it. Meta's own handling is governed by its terms and privacy policy, not this one.

- Your customers' phone numbers and message content are not sold, and are not used for advertising or marketing by Keel.

How long we keep it: you choose a retention window per shop in Settings. The default is 90 days, after which messages are deleted automatically each night and any conversation left empty is removed. You can set it to keep messages indefinitely instead.

Deleting a conversation: a shop owner can delete any single conversation, and everything in it, from the Keel inbox. Deleting your Keel account removes all of it.

Data Retention

Your account data is retained for as long as your account is active. When you delete your account, we delete your data within 30 days.

Customer WhatsApp messages are the one exception to "until you delete your account": they are also removed on the per-shop retention schedule described above, so a shop does not accumulate customer conversations indefinitely by default. Set the retention window to keep them for as long as you like, or to zero days to delete them quickly.

Google Calendar events you created through Keel remain in your Google Calendar after disconnection and must be removed manually.

Security

We use encryption in transit (TLS) and at rest. Access tokens are stored in your Supabase project database with row-level security. We follow industry practices to protect your information.

Your Rights

You can access, update, export, or delete your data at any time through the Keel dashboard (Settings → Data tab).

If your data came through WhatsApp, you can delete a single customer's messages without deleting your account: open the conversation in the Inbox and delete it. That removes the conversation and every message in it.

If you are a customer of a shop that uses Keel and you want your messages removed, ask the shop to delete the conversation from their Keel inbox, or email us and we will pass the request to the shop. Full instructions are at /data-deletion.

You can disconnect third-party integrations (WhatsApp, Google Calendar) from Settings → Integrations.
