Creating and sending invoices

Bill a customer for products or services, and deliver the invoice by WhatsApp, email, or a secure share link.

Creating an invoice

  1. 1Open Invoices from the sidebar.
  2. 2Click New Invoice.
  3. 3Enter the customer's name (required). Add a phone number for WhatsApp delivery or an email for email delivery — at least one is needed to send the invoice. You can also search past customers to reuse their details.
  4. 4Search your products or services to add items — or add a blank line and type it in.
  5. 5Set the quantity and unit price for each line; the subtotal, tax, and total calculate themselves.
  6. 6Optionally set a due date (14 days from today is preselected), add a discount or tax rate, and any notes.
  7. 7Save as a draft, or Save & send to issue it right away.

Sending an invoice

Every invoice has a secure share link that customers open in their browser to view the invoice and pay what they owe.

Use WhatsApp when the customer has a phone number — Keel opens a chat pre-filled with the invoice details and the pay link. Use Email when they have an email address — Keel sends a branded, itemised invoice straight from the Invoices page.

An invoice you send is marked Sent automatically; the customer's payment status updates when they pay.

Statuses explained

Draft means the invoice exists but hasn't been issued yet. Sent means it's with the customer. Paid means it's settled in full. If a sent invoice passes its due date with money still owed, it shows as Overdue so it's easy to chase. You can also cancel an invoice at any time.

Print any invoice from the view screen for a paper copy to file or hand over.
